MetaFitness & Wellness Policies, Procedures and Payments
(MetaFitness & Wellness Center will be referred to as "the studio" & "Management" refers to Judy Cooper)
It is the responsibility of the participant to contact Management, with any questions regarding the policies, procedures & payments at 780-915-6132, judy@metafitness.net or by text or in person.

Class/Program Registration Your space in a session, class or program is reserved upon complete payment of the registration fee. If payment is not received your space is NOT confirmed and you risk losing your space. All payments are due on the first day of the class session, class pass, program or workshop. Special arrangements can only be made by contacting Management by phone, email, text or in person before the first day of class. If payments are not received, or special arrangements made ahead of time, Management and Instructors reserve the right to deny access to all classes and programs.
Payments accepted by cash or cheque only. Please make Cheques payable to Judy Cooper.
Sharing or Transferring of Class Passes, Class Sessions, Workshops and Programs All class sessions, class passes, workshops and programs are for the use of the individual purchaser. They CANNOT be shared, transferred or given away for any reason. The participants, guests and visitors agree that if they allow anyone else to use their purchased class sessions, class passes and programs they may be denied entrance to the studio and have all studio privileges revoked. Contact Management if you have a special request regarding sharing or transferring BEFORE the class session, class pass, workshop or program begins.
Un-Used Class Passes, Class Sessions and Programs NO REFUNDS OR CREDIT will be given for unused portions of any type of class pass, summer class pass, special pass, class sessions of any length, drop in attendance or programs and workshops. Any un-used portion of class sessions, class passes, workshops and programs will be fully forfeited by the purchaser and are completely non-refundable. The ending date of the class session, class pass, workshop or program will not be altered or extended for any reason. Please contact Management for any special requests you may have BEFORE the class session, class pass, workshop or program begins. No exceptions will be made.
Guests and Visitors All guests and visitors who participate in classes, training, workshops or programs are required to fill out the waiver, Par Q, Contact Information Form and read and sign the Policies, Procedures & Payment Form. Guests and visitors who only want to observe are required to read and sign the Policies, Procedures & Payment Form.
Adults All individuals over the age of 18 years must fill out, date and sign the waiver, Par Q, Contact Information Form and read and sign the Policies, Procedures & Payment Form BEFORE participating in any classes or programs.
Youth All individuals 14 - 17 years must have the waiver, Par Q, Contact Information Form and Policies, Procedures & Payment Form filled out and signed by a parent or guardian BEFORE participating in any classes or programs. Those under 14 years of age are not permitted to use any studio services.
Changes to Programming and Prices Management reserves the right to change times, dates, types of classes/programs and instructors without notice. Prices are subject to change without notice.
Class/Program Cancellations A minimum of 8 participants are required to run classes or programs, and 6 are required for small group classes. If registrations are below this, you will be notified of the class cancellation by email, phone, text or in person at least TWO days before the start date of the class/program. Any payments for cancelled classes/program will be fully refunded.
Missed Fitness Classes, Rowing and Small Group Classes Any missed group fitness classes, including pilates and yoga can be made up by attending any other fitness/pilates/yoga class of your choice DURING THE CURRENT SESSION, excludes rowing and small group classes.
Any missed rowing or small group classes can be made up DURING THE CURRRENT SESSION by attending any other class of your choice. However; if you wish to make up in another rowing or small group class you must contact Judy prior to attending to see if there is an available space in the class you'd like to attend. There is no guarantee space will be available in another rowing or small group class.
Any missed classes not used up within the CURRENT SESSION cannot be carried over to the next session. No credits or refunds will be given for un-used classes of any kind.
Code of Conduct All participants, guests and visitors are expected to conduct themselves in a calm and respectful manner at all times when in the studio. We will not tolerate profane language, continual loud talking and disruptive behavior during classes or training, fighting, arguing, bullying or inappropriate sexual conduct at any time. Complaints about Management, instructors, policies, programs or classes are to be discussed outside of class and program times with Management. Failure to comply with any of the above conditions will result in a denial of access to all services.
Participants, guests and visitors who appear intoxicated or under an illegal influence will be asked to leave or refused entry.
The Management reserves the right to deny participants and guests privileges to attend the studio, and terminate their class passes, class sessions and any programs or workshops they may be involved in, without reimbursement of remaining unused class sessions, class passes or programs if any of the policies and procedures are not adhered to. Participants, guests and visitors who have been expelled forfeit all privileges of the studio.
Fitness Studio Etiquette Participants are to clean all equipment and mats after each use with the spray and cloths provided. Please DO NOT spray directly onto fitness equipment's digital monitors, and computer screens. Spray the cloth and then wipe machine. Please do not spray or wipe wood surfaces on rowers. Replace all dumbbells and equipment in appropriate storage space when finished.
Personal audio equipment must be used with headphones, and cell phones are to be turned off, placed on vibrate or silent mode.
For safety reasons, all personal items, except water bottles, are to be kept completely off the aerobic room floor during classes and programs. All personal items except water bottles are to be kept away from workout areas, including rowing machines. Instructors and Management have the right to ask you to move them.
During classes and programs, all equipment, including dumbbells, are to be kept safely off to the side, away from your step or anyone's area of movement. Instructors have the right to ask you to move the dumbbells and equipment to a safe place.
Personal Belongings The studio is not responsible for personal belongings of participants, visitors or guests. All personal belongings are left in the studio at your own risk. Articles found in the studio will be kept for two (2) months, and if unclaimed will be donated to charity. Please check the lost and found bin or contact Management if you are missing an item. Management is not responsible for items in the lost and found bin.
Clothing and Shoes No outdoor shoes are allowed inside the studio. All outdoor footwear is to be left at the front entrance. Clean indoor athletic shoes with non-marking soles and a fully enclosed foot are required for movement classes, excluding yoga, pilates and similar mind/body classes, programs and workshops. No sandals are permitted in the aerobic room or workout areas of the studio. Sweats, leggings, athletic pants and exercise pants are permitted. Shorts must have a minimum 4" inseam (leg length). T-shirts, athletic and sport tops are permitted with or without sleeves. Necklines on shirts are required to be at, or above, upper armpit height. If you do not have proper clothing or footwear you will be denied access to the studio at that time, and no credit or reimbursement of any kind will be given for the missed class or program.
Food, Drinks and Water Food is not permitted in the aerobic room or in the workout area of the studio. All beverages must be in appropriate and safe bottles or plastic containers with lids. No gum is allowed during classes and programs. Please dispose of gum in a tissue before placing in the garbage. There is bottled water in the office fridge. Please help yourself to water and place your payment of $1 in the tin on top of the fridge. An honor system is used. Please don't abuse it.
Change in Personal Information Please inform your class instructor, personal trainer and Management if there are any changes in your current health. Please contact Management if you have a new address, phone number, email address or have changed your name.
External Personal Trainers and Instructors Personal trainers and class instructors are provided by MetaFitness & Wellness. To ensure consistency and safety, independent personal trainers and instructors are not permitted to use the premises. It is prohibited for participants, visitors and guests to solicit or advertise for outside personal trainers and instructors on MetaFitness & Wellness premises.
Construction, Repair and Equipment Maintenance The studio is entitled to make alterations, carry out repairs or do maintenance on the building and on fitness equipment without prior notice. Every consideration will be made to minimize inconvenience.
Parking Parking is at your own risk. Please park back from the sidewalk to avoid risk of falling snow and ice. MetaFitness is not responsible for any loss or injury to person or property occurring on the sidewalk or in the parking lot.
Liability Any participant, visitor or guest to the studio is fully responsible for their own safety AT ALL TIMES in the studio, parking lot and sidewalk. It is hereby understood and agreed that MetaFitness & Wellness and/or Judy Cooper accepts no responsibility for any accidents, injury, illness, death, loss or misadventure caused to, or suffered by participants, visitors and guests to their property or person while on the studio premises, sidewalk, or parking lot however caused.
DECLARATION I am aware of, and understand, the policies, procedures & payments of MetaFitness & Wellness Center. I have had the opportunity to ask questions and any questions I have asked have been answered to my satisfaction. I agree it is my responsibility to contact Management with questions.
